Study Leave Policy and Procedures

 

Purpose:

 

To get a scientific qualification or gain practical training in branch of specialty. ( Article 15, Law 112, 1959/ Universities Organization Law)

 

Statement:

 

Assistant staff (demonstrator and assistant lectures) has study leave with or without salary. If the demonstrator has not completed two years from date appointment, he/she can have especial vacation without salary for two years. Then, special vacation is converted to study leave. 

 

Rules:

 

Study leave is provided with salary in the following cases: 

1- Obtaining excellent grading in performance for the last two years.

2- Completion of two years in work from date of his/her appointment.

3- No change of special vacation to study leave.  

4- Age is not more than 40 years old. This age may be three months less by approval of Cairo University  President and Executive Committee of scholarship.

Study leave is provided without salary in the following cases: 

 

1-If one spouse has a vacation to accompany the other and this vacation is converted to study leave.

2-If the demonstrator has not completed two years from date appointment; he/she can have especial vacation without salary for two years. He/she has a study leave with salary after two years.

3-Obtaining less than excellent grading in performance for the last two years.

Note:

 

In cases of special vacation and study leave, the candidate may be given financial reward that not exceed financial remuneration for total net salary inside for a period of study (University Council on 23/2/1977)

 

Procedures: 

 

1-Submission of a request of study leave to a department council.

2-Approval of a department and Faculty council for the travel of the candidate.

3-Fullfilling the information Form.

4-A report of obtaining excellent grading in performance for the last two years.

5-All documents for approval of the candidate to study abroad including name of the body, title of the program and specialization, and date of starting the program…etc.  

6-Account statement of the candidate.

7-In case of conversion of especial vacation to study leave, the candidate should abide to fulfill all documents. 

8-Addressing the Department Cultural Relations in Cairo University including approval of the faculty dean and all documents related.

9-Approval of Cairo University President.

10-Approval of Executive Committee of Scholarship in case of study leave.

11-Preparation of executive decision after approval of university president directly in case of special vacation and after approval of Executive Committee of scholarship in case of study leave.

 

Procedures to extend especial vacation or study leave

 

1-Approval of Cultural Office.

2- Clarifying what has been accomplished for the program.

3-Approval of supervisor for the continuing of the study.

4-Approval of department council and Faculty Council.

5-Addressing the Department of Cultural Relations in Cairo University including approval of the Faculty dean and all documents related.

6-Approval of Cairo University President

7-Approval of Executive Committee of Scholarship in case of study leave. This approval is essential until 6 years. It is satisfied with the approval of Cairo University President in the 7th year.

8-Preparing of executive decision by Department of Cultural Relations in Faculty, which is distributed to stakeholders inside and outside the faculty.

 

 Procedures to extend practical training (without salary)

 

1-A request of extension, as well as approval of supervisor and Cultural Office for only one year without salary

2-A approval of department council and faculty councils.

3-Addressing the Department of Cultural Relations in Cairo University with the approval of the Faculty dean and all documents related.

4-Approval of Cairo University President for only one year without salary.

5-Preparing of executive decision by Department of Cultural Relations in Faculty, which is distributed to stakeholders inside and outside the faculty.

 

Change of supervisor or change of specialization

 

1-Provide documents regarding the type of change from Cultural Office.

2-Approval of department of specialty council and faculty council.

3-Approval of Cairo University President.

4-Preparing of executive decision by Department of Cultural Relations in Faculty, which is distributed to stakeholders inside and outside the faculty.

 

Financial aids

 

University Council decided in 27/10/2010 to provide financial contributions for travel expenses to get a scientific degree (master- Doctoral- collection of scientific material) in cases of not provided by foreign bodies of scholarship.

 

 

University Council decided in 27/06/2012 to add an item that the university bears 50% and the faculty bears 50 % of the travel cost of the candidate. Each faculty should put the selection rules of the candidates and the practical training should be not less than two weeks.
